MMAM / Mining title management

MMAM: managing mining titles, obligations and renewals

A mining title has documents, dates and people responsible for them. MMAM keeps that work attached to the title.

A software delivery case, not a factory automation installation.

The problem

Title records were scattered across files, inboxes, calendars, and personal memory. Portfolio status needed manual reconstruction.

The key decision

Make the title the primary record, with evidence, responsibilities, dates, activity, and status attached to it.

What we built

Make the work clearer and easier to hand off.

  • A structured mining title database with ownership, company, location, and status information
  • Document management connected directly to the relevant title
  • Obligation, deadline, and renewal tracking with reminders before action is due
  • Permissions, activity history, search, filtering, map views, dashboards, and reporting

Before the project

  • Title records were split across files, inboxes, calendars, and personal memory.
  • Documents and obligations were not consistently attached to the title they governed.
  • Portfolio status required manual reconstruction.

A deadline belongs to a title

A calendar can tell somebody that a date is approaching. Preparing a mining title file also requires the ownership record, supporting documents, the obligation behind that date and the person responsible for the next step.

MMAM puts those pieces around the title. Each obligation has a date and an internal owner. Documents, activity and status changes remain attached to the record that gives them meaning.

The record has to survive the handover

The earlier arrangement spread information across files, inboxes, calendars and personal memory. Reviewing the portfolio meant bringing those sources together again. A colleague taking over the work faced the same task.

Using the title as the main record gives the team a starting point. Search, filters, map views and dashboards provide different ways into the portfolio, while permissions and activity history help people follow changes.

Preparing the next renewal

MMAM tracks upcoming obligations and renewal dates and sends reminders before action is due. Staff can record progress and keep the supporting evidence with the title.

Administrative, compliance, legal, management and field teams can consult the same record when preparing a file or checking its status. The system still depends on people maintaining those records and deciding what action is required. A reminder cannot do that work for them.

The working process

  1. A mining title is registered with its core information and supporting evidence
  2. Obligations, dates, documents, and internal owners are connected to that title
  3. The system monitors upcoming dates and sends reminders before action is required
  4. Progress and evidence are recorded so management can review the portfolio position

What changed

  • A clearer view across mining titles and their current status
  • Easier monitoring of deadlines and responsibilities
  • Supporting documents linked to renewal and regulatory preparation
  • Less dependence on individual memory for portfolio knowledge

Systems involved

Mining titles · Documents · Obligations · Renewals

The lesson

The title became the record from which the team could find the documents and work still due.
